Spring Move Out Information

At the end of your Housing contract, all residents are required to vacate their residence halls 24-hours after their last exam. All non-graduating spring residents will be moved out no later than Saturday, May 11, 2019, before 10:00 am. We will be conducting three different check-out systems. You may check-out at your hall’s front desk at any time; however, appointments for a scheduled check-out in addition to an express check-out option will begin at the dates and times listed.

April 22

  • Express check-out envelopes will be available to pick up
  • Sign up for a check-out appointment opens

April 29 – May 11 (9 a.m. – 9 p.m.)

  • Express Check-Out, Standard Check-Out, and Appointment Check-Out will be available

May 11 (8 a.m. – 10 a.m.)

  • Check-out with increased staff available at your front desk

We will have bin and dolly reservations available beginning April 22, 2019. Bins or dollies can be reserved from your residence hall front desk during regular desk hours. To retrieve a bin, you must sign up with your name, student ID number, and a phone number. If a bin is not available at the time of your request, a Desk Attendant will call you when one become available with the phone number provided. If you prefer not to utilize these bins or in case of bins being in use when you arrive, please plan to also bring something of your own to use to assist you with your move out process.

How to Formally Check-Out of Your Room

There are three options for checking out of the building: Standard Check-Out, Priority Check-Out appointments, and Express Check-Out.

Option 1: Priority Check-Out via Appointment (appointments will be from 9:00 AM to 6:00 PM)

Prior to April 22, 2019, at 12 pm your RHD will email out a link for you to sign up for a 15 minute check out appointment. Appointment timeslots will close 1 day prior to the appointment time listed. If you are sure of your move out time and date you can sign up for an appointment. During your appointment time, a designated staff member will report to your room with your check out paperwork, to commence the check out procedures. Your room will need to have all of your belongings removed and cleaned.  If you are not ready at your appointment time, you can proceed with a Standard Check-Out at any time after.

Option 2: Standard Check-Out (available daily 9:00 AM to 9:00 PM)

If you are not able to sign up for an appointment 24 hours ahead of time, once you have removed all of your belongings and have cleaned your room, you may go to the front desk of your building to meet a staff member who will assist with the check out process.  The staff member will ask you for your ID, then come with you to your room to check your room’s condition.  After that, you and the staff member will return to the desk where they will check you out of our Resident Management system, collect your key, have you sign your key card verifying that you have returned your key.  After this, you are free to go. This should take no longer than 15 minutes. 

Option 3: Express Check-Out 

If you are not able to sign up for an appointment or conduct a standard check-out, you may participate in our express check-out option. Beginning April 22, 2019, you may pick up an Express Check out envelope at the front desk. 

Once you have removed all of your belongings and have cleaned your room, you may sign acknowledging your agreement to the terms of Express Check-Out found on the front of the envelope, place your key in the envelope and seal it, and place the sealed envelope at the designated location at the Front Desk as you depart from the building.

When participating in the Express Check-Out Option you waive your right to appeal any damages assessed to your room. Express Check-Out rooms will be inspected the same day that the check out occurs and Room condition inspections will reflect the state of the room at the time of check out. 

Closing Checklist 

  • All belongings have been removed from the room – all drawers, cabinets, shelves, etc. are empty and clean prior to your appointment (you will not have access to rooms upon checking out, don’t forget anything!)
  • Leave drawers open, mattress propped up on the bed frame, and closets/wardrobes open
  • Remove garbage in or around the room and take them to the dumpsters outside
  • Sweep and wipe all surfaces and floors (supplies will be available at the front desk)
  • Return your assigned room key check out

Complete all cleaning tasks on the closing checklist. Room conditions will be documented at the time of your specific check out. If the room/suite is not clean at that time, that is what will be noted. Any changes to the room after the inspection has occurred will not impact the resident who has already departed.

Parking and After-Hours Check-Out

When you are checking out, please abide by all parking rules and regulations. Cars should not be left unattended for extended periods of time, or parked in prohibited unloading zones. Late Stay Requests

Residents who will be staying for Summer I or who may not be able to vacate the Residence Halls by May 11th at 10:00 am must request to stay late.

All forms must be submitted by Thursday, April 25, 2019, at 5 p.m. On May 11th at 10:00 am all approved Late Stay requests will receive a Room Occupied sign on their door.

Residents who will be attending or participating in Commencement outside of Graduating Seniors, must also submit a request to stay late; however, you will be expected to check out 24 hours after the start of Commencement, no later than Sunday, May 12, 2019, at 7:00 pm. Only Standard and Express Check-Out Options will be available at that time. We encourage all graduating students and those participating in Commencement to check-out prior to the Ceremony, to avoid traffic and so that you may enjoy your time with your family.
